Purpose: The role is intended to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.


Ovid is a private limited company that is in the process of upgrading itself to the level of OVID Corporate Group incorporating, OVID Construction, Ovid Real Estate, Ovid Manufacturing, Ovid Trading House, and Ovid Venture Capital. Ovid is defined with an objective of promoting modern building systems that will decrease the dependence of the Ethiopian construction industry on conventional methods which are inefficient in terms of project delivery, quality, and cost. Our company is the pioneer in introducing various modern building technologies and project management systems. As part of our expansion process, we are currently seeking a Manager for the Chairman & CEO’s Office responsible for the organization and coordination of office operations, procedures, and resources to facilitate effectiveness and efficiency for the entire organization. As the executive assistant to the Chairman, this individual will perform a wide range of administrative support activities and assistance to facilitate the efficient operation of the Chairman’s Office.

Key Responsibilities:

  • Serve as the first point of contact to answer, screen, and transfer incoming letters as well as office visitors.
  • Draft and edit correspondence, communications, presentations, and other documents on behalf of the Chairman & CEO.
  • Coordinate logistics and prepare meeting materials for Ovid Board of Directors and management meetings.
  • Prepare agendas for meetings, briefing materials, and presentations as needed to support the Chairman  & CEO.
  • Provide administrative support to Chairman & CEO in order to increase his availability for executive-level responsibilities.
  • Manage and maintain Chairman & CEO’s calendar including scheduling appointments, internal/external meetings, and conference calls.
  • Oversee all daily office functions ensuring the organization, its customers, and staff has a satisfying work environment.
  • Coordinate Chairman & CEO’s travel itineraries, flights, hotel accommodation, rental car, and other travel needs when needed.
  • Maintain Chairman’s Office files and records as well as an updated contact database.
  • Secure appropriate signatures and track documents through the approval process on behalf of the Chairman & CEO.
  • Coordinate annual local &  international meetings with duties that include planning accommodations, menus, space set-up, managing a budget, coordinating local transportation, and managing audio/visual requirements.
  • Support other senior management staff on other projects and business units as needed.

Education and Training: Minimum MSc Degree in Management,  Business Administration, IT fields, Office Management, Communication Management, records and office management, and related fields

Work Experience: At least five (5+) years of relevant professional experience working in related private/public institutions and/or NGOs, Experience in planning and leading strategic initiatives.

Skill Requirements: Excellent analytical skills, excellent oral and verbal communication skills, including the ability to present reports to different audiences, ability to work independently and collaboratively as part of a team, ability to deliver outputs within tight timeframes, ability to work with excellent interpersonal skills and demonstrate the ability to build consensus, ability to organize work, meet deadlines, prioritize work under pressure, full professional fluency in written and spoken English and computer skills including MS Word, Excel and PowerPoint, a variety of office software (email tools, spreadsheets, and databases), commitment to carrying out the mission and values of Ovid.
